Quick reference for the things officials ask most — profile setup, availability, calendars, and more. Search below or browse the list.
After you've created your HorizonWebRef account, log in and click your name in the top-right to open your profile. You'll need to complete the basics below before schedulers can assign you to games.
Required for everyone:
- Full legal name (matching what's on your USA Hockey registration)
- USA Hockey registration number
- Mailing address
- Date of birth
- Officiating level (Level 1, 2, 3, or 4)
- Arena preferences — select every rink you're willing to work at
- Travel radius / maximum distance willing to travel
Enter your own email address and phone number as the primary contact info. This is where game assignments, schedule changes, and scheduler messages will be sent.
Make sure your email is one you actually check — assignments often go out the day before a game.
Minors (under 18)Officials under 18 must add a parent or guardian's email and phone number alongside their own. In your profile, add the parent contact in the secondary email and phone fields so they receive copies of all scheduling communication.
Parents should review every assignment confirmation. If a parent is not added to the profile, schedulers may decline to assign games until that information is on file. This protects both the official and the scheduler.
The minor's own email and phone can still be used as primary contact, but the parent must always be cc'd. Update the parent contact info if it changes.
Schedulers can only assign you to games during times you've marked as available. Setting availability accurately — and keeping it updated — is the single most important thing you can do to get games.
To set your availability in HorizonWebRef:
- Log in and find "My Calendar" or "Availability" in the main menu (location varies by view).
- Pick the date range you're updating. Most officials set availability a month or two out and update weekly.
- For each date, mark the time blocks you can work. The default is "available all day" unless you say otherwise.
- Use "Block off" to mark times you cannot work — school, work, family commitments, travel. Be precise: blocking an entire weekend when you only have a 3 PM conflict means missed games.
- Save your changes. The scheduler sees your availability in real time.
Best practices:
- Update availability weekly — life changes, plans shift.
- If something comes up after you've been assigned a game, contact the scheduler immediately — don't just block the time and assume it'll auto-cancel.
- If you want more games, open up more blocks. Schedulers prioritize officials with broad availability.
Your HorizonWebRef calendar shows every game you've been assigned, plus games you've accepted, declined, or are still pending acceptance.
To view your calendar:
- Log in to HorizonWebRef.
- Click "My Schedule" or "Calendar" in the main menu.
- You'll see a month-view by default. Click any game to see full details — rink, level, time, partners, contact info for the home team.
- Color coding tells you status: pending assignment, accepted, declined, completed.
Sync with your personal calendar:
- HorizonWebRef can export your schedule as an iCal feed that syncs with Google Calendar, Apple Calendar, or Outlook automatically.
- Look for "Calendar Sync" or "Export" in your account settings to grab the iCal URL. Paste it into your calendar app's "Add by URL" option.
- Once set up, every new assignment appears on your phone automatically — no manual entry.
If a game doesn't show up: wait an hour and refresh — assignments occasionally take a moment to sync. If it's still missing, contact your scheduler.
